What We Collect and Why

We collect the following categories of personal information:

• Birth information (birth date, birth time, birth place). We use this solely to calculate your astrological chart and to generate the report you request. This information is essential to providing our service — without it, we cannot calculate your chart.
• Free chart calculator: birth data you submit to our free calculator is used transiently to calculate your chart and is not stored on our servers. It is sent to our calculation service for the single request, the resulting chart is returned to your browser, and the input is discarded — we keep no database record and no log of the birth date, time, or place you entered. (The retention period described below applies only to birth data submitted with a paid report order, not to free calculator use.)
• Compare mode (Twin Flame Calculator): if you use the optional "Compare With Someone" mode to enter another person's birth data, that data is used the same way as the free calculator above — calculated transiently to produce the comparison, sent to our calculation service for the single request, and not stored on our servers. We keep no database record and no log of the second person's birth date, time, or place. You must have that person's permission to share their birth details with us before submitting them; the form requires you to confirm this before it will proceed.
• Payment and contact information (email address). Collected by our payment processor, Stripe, at checkout. We use your email solely to deliver your report and communicate about your order (confirmations, delivery, refund requests).
• Notification email (optional). If you opt in at checkout — this is unchecked by default — we send status updates as your order moves through delivery. If you don't opt in, we send no order-status emails beyond Stripe's own receipt.
• Waitlist and beta sign-up email (optional). If you submit your email through one of our sign-up forms (for example, the free-beta waitlist on our report page or chart result page), we collect only your email address, a source tag identifying which form you used, and the submission timestamp — no name, IP address, or device/browser information. We use this solely to send the two kinds of email our sign-up forms promise: next steps for your free beta report, or a one-time notice when paid checkout opens for the next batch. Submitting the form is your consent to receive those two emails. Consistent with what the forms themselves tell you ("nothing else, no other emails"), we do not use this address for any other marketing or promotional email. To deliver these messages, we use Resend, our transactional email provider, sending from the subdomain send.venusward.com.
• Notes on your free chart reading (optional). Under each of the two signals on your free chart result, you can choose how well it fits and, if you like, type a short note (up to 500 characters). The note is sent to us without your birth details, name, email address, or IP address — we store only the note, which signal it was about, the option you chose, and when you sent it. A person reads each note, and we use them to improve how these readings are written. Notes are never sent to our analytics provider. A note is only shown publicly if you tick “OK to show this note publicly” when you send it. You then choose how it's credited: anonymously (the default), or by your initials and Sun sign, such as “J.M., Leo” — the only identifying detail we keep, and only if you pick it. We keep a timestamped record of the exact wording you agreed to. Even then, a person reviews the note first, and it appears labelled as feedback on the free chart, with the month you sent it. Please don't include names or contact details in the note itself.
• Report feedback (optional). If you're a beta reader who received a free report, we may invite you — through a private link sent in your delivery email or included at the end of your report — to tell us how the reading felt: a rating from 1 to 5 and an optional written testimonial. Only someone who has received that link can reach the form, and submitting feedback is entirely voluntary. We use this feedback to improve our reports. If you check the box allowing us to display your feedback publicly, we also collect how you'd like to be credited — your initials and sun sign, or fully anonymous — and keep a timestamped record of the exact consent wording you agreed to. If we publish your feedback, we label it as coming from a reader who received the report free in exchange for honest feedback, consistent with FTC disclosure requirements for incentivized reviews.
• Analytics information (page views and a predefined set of interaction and conversion events). Collected by our analytics vendor, PostHog. We do not use cookies or browser storage for analytics — tracking state is kept in memory only and does not persist between page loads. We do not record session replays. We do not automatically capture every click; only the specific events we've defined are sent. Anonymous visitors do not have a user profile created for them. Analytics data is processed on PostHog's U.S.-based servers. We do not use analytics data to identify you personally.

We do not sell your personal information. We do not use your birth information for advertising or marketing purposes.

How Your Report Is Generated

Your report is drafted with a third-party artificial intelligence (large language model) service, based on the astrological chart data calculated from your birth information. A human reviewer reads and edits the AI-drafted content before it is delivered to you.

We do not send your name, contact information, payment information, or your original birth date, time, or place to this service — only the derived chart data needed to draft your report's content, such as planetary positions, aspects, and house placements. In our account settings with this service, the option that allows our chats to be used to train its models is turned off. The provider's handling of the data it receives is governed by its own terms and privacy policy, which we do not control.

How Long We Keep Your Information

• Birth information (beta and paid reports only — the free calculator does not store your input, see above): retained for 90 days after your report is delivered, to support re-delivery requests, refund disputes, or customer service inquiries. After 90 days, we delete it or retain only an anonymized version (with location data generalized so it can no longer identify you) for internal quality review of our calculations. If you would like us to keep your birth information longer than 90 days — for example, to support a future re-delivery request — you can ask us to retain it by emailing us at the address below; we will not extend retention without your request. For beta reports, you send your birth information to us by email. It stays in our email inbox and on the operator's computer only — it is not stored in our website database and is not sent to the AI service — and we delete it from both 90 days after delivery, or sooner if you ask.
• Payment and contact information: retained only as long as necessary to fulfill your order and respond to related inquiries. Payment records held by Stripe are governed by Stripe's own privacy policy and retention practices, which we do not control.
• Waitlist and beta sign-up email: retained for 24 months from the date you submit it. You may ask us to delete it sooner at any time by emailing us at the address below, and we will honor that request. One exception: after we delete your email address, U.S. CAN-SPAM law requires us to keep a suppression-list entry recording that this address asked not to be contacted again, so that we do not accidentally email you in the future — that suppression record is kept separately from, and does not restore, the deleted contact information itself.
• Notes on your free chart reading: deleted after 90 days, unless you agreed to public display and the note is shown on our site — in that case we keep it for as long as it is displayed. Because notes aren't linked to an email address or any other identifier, we can't look up a private note on request; to have a displayed note removed, email us the wording and we will take it down.
• Report feedback: your feedback is tied to the beta or waitlist sign-up record you submitted it under, so it follows that record's retention period — see "Waitlist and beta sign-up email" above — and is deleted automatically if that record is deleted. You can also ask us to delete your feedback on its own, or withdraw your consent to have it displayed publicly, at any time by emailing us at the address below; if your feedback has already been published, we will remove it from the site.
• Analytics information: retained per PostHog's default retention period, which we do not control, or indefinitely in aggregate, non-identifying form.

Your Rights

Depending on where you live, you may have the right to:

• Know what personal information we hold about you
• Access a copy of that information
• Correct inaccurate information
• Delete your information ("right to be forgotten")
• Object to or restrict certain processing
• Receive your data in a portable format

We offer these rights to all users, regardless of location, as a matter of practice rather than only where legally required.

To exercise any of these rights, email us at hello@venusward.com. We will respond within 30 days. We may ask you to verify your identity (e.g., by confirming the email address used for your order) before processing your request, to protect against fraudulent requests.

If you are located in the European Economic Area or the United Kingdom and believe we have not adequately addressed your request, you have the right to lodge a complaint with your local data protection authority.

International Visitors

We apply a single global privacy standard to all visitors, based on the EU's General Data Protection Regulation (GDPR), rather than different rules for different regions. For regions that grant rights not listed above, email us and we will respond according to the law that applies to you.

Age Requirement

Our service is not directed to, and we do not knowingly collect personal information from, anyone under 18 years of age. Because our service involves precise birth date, time, and place information, we require all users to confirm they are at least 18 years old before submitting the intake form.

If we learn that we have collected personal information from someone under 18, we will delete it promptly. If you believe a minor has provided us with personal information, please contact us at hello@venusward.com.
